Job Description

Oversee and monitor daily operational activities across branches and departments to ensure efficiency, consistency, and service excellence.

Implement and maintain effective systems and processes for loan assessment, disbursement, collections, customer service delivery, and insurance claim management.

Regularly evaluate the efficiency and effectiveness of operational systems and processes against organizational objectives and implement necessary improvements.

Identify process bottlenecks and implement solutions to improve workflow efficiency, reduce turnaround times, and minimize operational risks.

Contribute to system implementation projects, particularly the Loan Management System (LMS), by providing operational requirements, design inputs, user acceptance testing, and post-implementation reviews.

Conduct regular branch visits to assess operational performance, compliance, documentation standards, and customer service quality.

Support the development and execution of business expansion strategies, including the identification of new branch locations, readiness assessments, and the operational setup of new branches.

Translate strategic expansion goals into operational plans covering staffing, infrastructure, system readiness, and process rollouts for new locations.

Monitor branch performance against budgets and recommend interventions to improve productivity, efficiency, and market penetration.

Assist the Head of Operations and the CEO in the development, review, and implementation of operational policies, standards, and Standard Operating Procedures (SOPs).

Identify areas requiring process improvement and implement enhanced procedures to increase efficiency and strengthen internal controls.

Ensure the timely communication, training, and adoption of new and revised policies and SOPs across all branches and operational teams.

Track and analyze departmental performance using relevant KPIs and operational metrics, including documentation compliance, disbursement conversion rates, insurance claim turnaround times (TAT), and expansion targets.

Prepare and submit monthly, quarterly, and annual operational reports to the Head of Operations and senior management.

Assist in the preparation of management information packs, dashboards, and presentations for Board and Management Committee meetings.

Submit periodic operational reports and data returns to management and credit bureaus in compliance with Bank of Tanzania (BOT) regulations and other applicable requirements.

Support risk-related initiatives and projects, particularly those related to credit, collections, operational processes, and insurance risk measurement, control, and quality assurance.

Monitor operational risks and implement mitigation strategies to safeguard company assets, customer information, and the organization's reputation.

Maintain accurate operational records and ensure complete documentation, including KYC files and original Registration Card (RC) custody, in compliance with regulatory and audit requirements.

Manage operational relationships and contracts with vendors, insurers, service providers, business partners, and internal stakeholders, ensuring all legal and compliance requirements are met.

Coordinate cross-functional collaboration among Operations, Sales, Credit, Collections, Finance, IT, and Risk departments to ensure seamless service delivery.

Maintain productive working relationships with Business Heads and actively participate in planning, performance review, and strategy meetings.

Supervise, mentor, and develop Operations Officers and branch operations staff to ensure high performance and continuous professional growth.

Conduct training and coaching sessions to enhance team competencies in operational processes, product knowledge, compliance, and customer service.

Foster a culture of accountability, teamwork, ownership, and continuous improvement throughout the organization.

Attend meetings as required by management, record minutes, and circulate them to relevant stakeholders in a timely manner.
