Job Description

 

  • Raise the Manpower Requisition Form (MRF) after thoroughly discussing the requirement with the requisitioner.
  • Share the Job Description (JD) and MRF with the Cluster Head for final approval after receiving initial approval from the Unit Head.
  • Coordinate the entire end-to-end recruitment process.
  • Open the personal file after verifying that all essential documents are in place.
  • Enter the new joiner’s data into the payroll software and prepare the ID card.
  • Conduct induction for the new employee.
  • Register the employee in the biometric system.
  • Ensure the employment contract is properly checked and filed.
  • Send daily attendance reports generated from the biometric system to the respective Heads of Department (HODs).
  • Update attendance records based on remarks received from HODs in the biometric software.
  • Monitor the work of the biometric admin and analyze attendance accuracy; take corrective actions where necessary.
  • Track employee absenteeism and take appropriate corrective measures.
  • Ensure timely uploading of monthly attendance to enable prompt salary processing.
  • Ensure leave forms are completely filled out, properly approved, and filed in the employee’s personal file.
  • Participate in Collective Bargaining Agreement (CBA) negotiations.
  • Ensure adherence to the CBA and maintain workplace harmony.
  • Keep the union file updated with all minutes of meetings, notices, memos, and other communications.
  • Ensure both the company and the union comply with union administration requirements.
  • Attend union meetings as required and ensure each meeting is properly minuted, documented, acknowledged, and filed.
  • Keep the Legal Team and Cluster Head informed of all labor-related issues.
  • Conduct domestic inquiries (DIs) as needed.
  • Address employee grievances on a day-to-day basis and resolve them at your level where possible.
  • Enforce discipline across the company and focus on addressing the root causes of misconduct to reduce incidents.
  • Promote high employee morale and motivation.
  • Ensure that company policies are posted on notice boards and that the boards are well maintained.
  • Maintain the visitor’s logbook.
  • Keep proper documentation related to all official visits and inspections.
  • Coordinate with HODs to ensure the appraisal process is smooth and completed on time.
  • Collaborate with the PMS Team during feedback sessions and help implement corrective actions for underperforming employees.
  • Ensure the compliance file is kept up to date at all times.
  • Monitor outsourced contracts and notify the Cluster Head at least two months prior to the contract expiry.
  • Ensure that contractors fulfill statutory compliance obligations for their employees.
  • Verify contractor invoices to prevent overpayments.
  • Participate in all levels of planning and execution of engagement events to ensure their success.
  • Maintain Leave, Domestic Inquiry (DI), and Workers Compensation Fund (WCF) trackers and submit them to the Cluster Head as per the timeline specified in the KPI sheet.
  • Prepare monthly stationery requirements and send requisitions to the Head Office.
  • Manage the end-to-end employee lifecycle, including (but not limited to): onboarding in payroll software, preparing personal files as per the checklist, conducting probation appraisals, renewing employee contracts, handling separations, and processing final settlements.
  • Ensure that technicians and drivers report to their assigned workstations according to schedule.
  • Assist in minimizing misconduct by providing strategic solutions.
  • Identify manpower requirements in advance and submit MRFs to the recruitment team to ensure timely hiring.
  • Focus on enhancing manpower efficiency and improving overall productivity.
  • Ensure accurate attendance of contract labor, security staff, and canteen users for timely and correct payment processing.
  • Perform routine HR tasks related to compensation, benefits, leave management, disciplinary actions, disputes, investigations, performance and talent management, productivity, recognition, morale, occupational health and safety, and training and development.
