Job Description

  • Recruitment:
    Initiate the Manpower Requisition Form (MRF) after thoroughly discussing the requirement with the concerned requisitioner.
    Share the Job Description (JD) and MRF with the Cluster Head for final approval after clearance from the Unit Head.
    Coordinate the entire end-to-end recruitment process, ensuring timely closures.
  • New Joiner / Onboarding:
    Open a personal file after verifying that all essential documents are in place.
    Enter the necessary data into the payroll software, prepare ID cards, conduct employee induction, register the employee in the biometric system, and verify the employment contract.
  • Biometrics:
    Send daily attendance reports generated from the biometric system to the respective Heads of Departments (HODs).
    Update attendance based on feedback and remarks from HODs in the biometric system.
    Monitor the biometric administrator’s work, analyze attendance accuracy, and take corrective actions when required.
    Track employee absenteeism and implement necessary measures to improve attendance.
    Ensure monthly attendance is uploaded on time for prompt salary processing.
  • Leave Management:
    Ensure all leave forms are completely filled out, properly approved, and filed in the respective personal files.
  • Union Relations:
    Address all union-related matters and provide timely advice to the Cluster Head and senior management.
    Participate in Collective Bargaining Agreement (CBA) negotiations.
    Ensure adherence to the CBA and maintain a peaceful workplace environment.
    Keep the union file updated with all meeting minutes, notices, memos, and other relevant communications.
    Ensure both company and union comply with all union-related administrative requirements.
    Attend union meetings as required and ensure each meeting is documented and filed accordingly.
  • Industrial Relations:
    Keep the Legal Team and Cluster HR informed about all labor-related issues.
    Conduct Domestic Inquiries (DIs) as necessary.
    Address and resolve employee grievances on a day-to-day basis.
    Promote workplace discipline by addressing root causes of misconduct.
    Encourage high employee morale and motivation.
  • Company Policies:
    Ensure all company policies are posted on notice boards and that boards are well-maintained and up-to-date.
  • Government Visits / Statutory Inspections:
    Welcome all official visitors and inform the relevant senior authorities of their arrival.
    Maintain a visitor's logbook and ensure proper documentation of all official visits and inspections.
  • Employee Performance Appraisal (Caliber Inventory):
    Coordinate with department heads to ensure a smooth performance appraisal process.
    Work with the Performance Management System (PMS) team during feedback sessions.
    Assist in identifying and implementing corrective actions to improve underperforming employees.
  • Compliance:
    Ensure the compliance file is always up to date with all necessary records.
  • Outsourced Contracts:
    Monitor outsourced contract timelines and alert the Cluster Head at least two months before expiry.
    Ensure contractors fulfill statutory compliance requirements for their employees.
    Review invoices carefully to avoid overpayments or billing errors.
  • Employee Engagement:
    Actively participate in planning and execution of employee engagement activities to ensure successful outcomes.
  • Trackers:
    Maintain and regularly update trackers for Leave, Domestic Inquiries (DIs), and Workplace Compliance Files (WCF).
    Submit updated trackers as per the schedule defined in the KPI sheet.
  • Stationery:
    Prepare and submit the monthly stationery requirements to the Head Office.
